Supervisor, HR Services
Summary/Objective
The HR Services Supervisor is responsible for providing leadership to a designated HR Services team/POD. This person will ensure effective processes, work instructions, controls, workflows, continuous improvement, administration, reporting, compliance with applicable local/state/federal laws, work rules and company policies are followed. This person leads the delivery of services to clients and internal stakeholders, assuring effective solutions are provided and that the team can efficiently and effectively achieve its goals/schedules.
Essential Job Functions
- Leadership/Management (directly):
- Builds, leads, and guides an effective and cohesive team. Interviews, hires, trains, and develops employees; empowers, plans, assigns, and directs work; appraises performance; rewards and recognition; coaches and disciplines; addresses issues and complaints and assists in providing appropriate resolutions.
- Assures appropriate bandwidth for Team.
- Functions as a role model of service excellence - caring, supporting, and serving employees and clients. Upholds the standards of operational excellence - accuracy, timeliness, responsiveness, integrity, and confidentiality.
- Troubleshoots/resolves escalated issues and advises appropriate sta regarding client concerns.
- Fosters strong, collaborative relationships within and outside of the team.
- Carries out supervisory responsibilities in accordance with company expectations, policies, practices, and applicable laws.
- Ensures daily operational functions of the team are run effectively and efficiently. Resolves, with urgency, daily operational issues that arise.
- Assures standardization in work practices. Leverages technology to improve work performance.
- Identifies, reviews, plans, presents, implements and manages improvements.
- Ensures conformance with laws and regulations.
- Maintains confidentiality and security of Human Resources information.
HR Services Level (either directly or through others):
- HR Services service unit meet or exceed HR Services expectations.
- Is a fully qualified specialist in the consulting/outsourcing category of their team. May maintain a portfolio of clients if capacity within the team cannot satisfactorily meet HR Services' work demand.
- Functions as Tier 2 escalation resource:
- Troubleshoots and functions as subject matter expert to team.
- Can evaluate and resolve issues on all platforms used by team.
- Is a key contributor to resolving state‐specific issues as they arise.
- Along with the Manager, escalates issues to other areas of isolved.
- Leads and assures successful new client implementations.
- Maintains total confidentiality with customer information.
- Continuously improves and effectively contributes to a continuous improvement work culture.
- Managed Benefits Services (either directly or through others) as applicable to team:
- Either directly delivers or supports the MSS team with administering employee benefit programs. Performing daily and on‐demand benefit processing to include enrollments, COBRA, terminations, life events changes, beneficiary updates, disability, accident and death claims, leave management (including FMLA), rollovers, distributions, loans, hardship, compliance testing, etc. May prepare or be involved in preparing census, Form 5500, and other compliance reports.
- Escalates issues to other areas of isolved.
Other Responsibilities (directly):
- Is a champion of initiatives that improve throughput and/or accuracy.
- Keeps current on industry practices and regulatory developments. Complies with federal, state, and local legal requirements and assures the team advise clients on needed actions.
- Works to continuously improve the HR administration systems for clients, within scope of work.
- Performs other duties as assigned.
Job Complexity
Works on issues of limited scope. Follows established practices and procedures in analyzing situations or data from which answers can be readily obtained. Monitors daily operations of a unit or sub‐unit. Requires full knowledge of own area of functional responsibility.
Interaction
Interacts daily with subordinates and/or functional peer groups. Interaction normally involves exchange or presentation of factual information.
Supervision
Provides immediate supervision to a unit or group of employees, assigning tasks, checking work at frequent intervals, and maintaining schedules. A portion of time is normally spent performing individual tasks related to the unit or sub‐unit.
Experience
- Bachelor's degree in human resources or similar field. Work experience may substitute for advanced education.
- Minimum of five (5) years of related HR experience.
- Prior HCM experience preferred.
Scope
Receives predetermined work assignments that are subject to a moderate level of control and review. Directs subordinates to complete assignments using established guidelines, procedures, and policies.
Discretion
Erroneous decisions or failure to achieve results may cause delays in schedules.
Minimum Qualifications
- High integrity professional who is passionate about management and HR.
- Excellent computer skills in the use of Microsoft Oice applications (particularly Excel).
- Excellent time management skills and proven organization and project management skills. Must be able to handle disruptions without allowing them to affect delivery of quality and timely services.
- Excellent critical thinking and troubleshooting skills.
- Able to problem‐solve in a fast‐paced environment working independently, demonstrating resourcefulness, functioning as a self‐starter, asking "unasked questions," collecting and analyzing applicable information, determining a course of action, executing plans to completion and continuously improving quality, efficiency and effectiveness.
- Proven effective oral, written, interpersonal and relationship building skills.
- Successful track record of establishing and maintaining a positive working relationship with clients, vendors, agencies, and co‐workers to promote a quality service image.
- Ability to maintain integrity and confidentiality.
