GENERAL SCOPE: The Payroll/HRIS Specialist has primary responsibility to coordinate and finalize payroll processing weekly, assist with data entry, complete manual payroll and maintenance corrections, generate reports both ad hoc and as requested, maintain all hours worked records to calculate earned benefits and provide user training, customer service and ongoing support. This role will support the ongoing technical requirements of the Human Resources/Payroll department, in collaboration with the Director of Human Resources, by maintaining the human resources information system (HRIS) including reviewing and applying HRIS updates/releases on a regular basis, monitoring system functionality, and supporting continuous and improved utilization of the system.
EDUCATION / QUALIFICATION: Associates degree in Human Resources, Accounting, or in a computer related study or the equivalent of five (5) years of related experience required. Bachelor’s degree preferred.
ESSENTIAL FUNCTIONS:

Ensures that business data and reporting needs of the Human Resources/Payroll department are met by analyzing system issues, identifying root causes, and initiating corrective action. Provides follow-up to verify corrections are completed.

Send weekly payroll information on a timely basis.

Prepares information for electronic transfer of payroll funds for Finance Department.

Write correction hand checks to correct payroll errors regarding miscalculated hours, incorrect overtime, etc.

Coordinate and verify all payroll changes for the next week’s payroll are completed by reviewing the weekly change report.

Maintain vacation, sick and floating holiday accruals, and audit as necessary.

Complete all aspects of Wage Assignments and Garnishments and Verifications.

Create reports from payroll and timekeeping systems as requested by supervisors or other departments.

Complete requirements for the Payroll Based Journal (PBJ) process and audits as required.

Develop and maintain a step-by-step procedure manual for payroll and timekeeping system for back up personnel in the event of absence.

Assist Directors/Supervisors with payroll problems and solutions by reviewing punch detail reports for missed punches, overtime hours, and non-working badges in the time clock.

Knowledge of all employee benefits (i.e., health, life insurance, dental), banking and credit union, payroll deductions, and general employee queries into similar areas.

Serves as the human resources information systems (HRIS) expert.

Assists with the system updates based on the regular releases for the HRIS including understanding, communicating, and testing changes to the system and determining the impact. Create service requests as necessary.

Executes system tests when implementing new functionality.

Works with departments to identify potential process improvements and communicates those possibilities into workable plans and system enhancements. Train / set up training for new users to payroll and timekeeping systems.

EXPERIENCE: Minimum five (5) years related work experience including experience with HRIS/Payroll systems. Must have strong technical, analytical and computer skills with a working knowledge of payroll processing and a general knowledge of all other human resources functional areas. Experience in UKG (Kronos) a plus. Must have competencies of drive for results with attention to detail while being accurate and able to maintain confidentiality. Must have good communication, interpersonal skills and have the ability to work independently on multiple tasks. Experience working in healthcare or aging services and in a non-profit environment desired.
