Job Description
The Sales Operations Associate will play a critical role in supporting teams across the organization — including our customer and growth teams — by ensuring seamless processes and supporting initiatives that contribute to our overall success. This is a highly engaged role that will assist with the day-to-day management and administration of the Salesforce platform. The Sales Operations Associate will work closely with the Salesforce team to manage user tickets, support system updates, user issues, and data integrity, helping to ensure the platform functions smoothly for internal teams.
Job Responsibilities
- Support Deal Desk: Support the sales team by managing deal-related inquiries and tickets, troubleshooting pricing and quoting issues, and providing guidance on processes, policies, and systems as needed. This includes:
- IO/IIO creation and closed-won paperwork review.
- Ensure consistent application of best practices, accurate quoting, and adherence to policies and procedures.
- Work closely with sales and finance to ensure smooth transactions from quote-to-cash.
- Data Entry and Management: Support system configuration; including user setup, assisting in the creation of custom fields, reports, and dashboards. This includes:
- Provide user support by managing tickets, troubleshooting issues, answering queries, and providing system support as needed.
- Accurately enter and maintain sales data in Salesforce to ensure integrity and completeness.
- Monitor and maintain data quality within Salesforce, conducting regular audits to ensure accurate and clean data. Identify discrepancies and inconsistencies and take corrective actions as needed.
- Conduct daily and weekly audits on Active Opportunities, Contracts, Spend, and the customer portal connection to ensure data flows as designed appropriately. Summarize findings to SalesOps leadership.
- Support internal teams by troubleshooting and resolving Salesforce errors and technical challenges to ensure smooth system functionality.
- Conduct one-on-one or group sessions with Account Executives (AEs) and Account Managers (AMs) as needed, providing guidance and training on Salesforce processes.
- Support the integration of Salesforce with other business systems (e.g., ERP, Marketing Automation platforms).
- Perform data imports and exports, manage data updates, and assist in data migration projects.
- Contribute to developing and maintaining training materials, standard operating procedures, and knowledge base documentation.
- Provide support and guidance to new hires on essential Sales Operations tasks, including managing tickets, handling deal desk processes, addressing support-related inquiries, and troubleshooting issues.
- Ad-hoc support on InfoSecurity questionnaires and vendor forms.
Qualifications
- Familiarity with quote-to-cash processes, including deal desk workflows, quoting, pricing, and contract review
- Basic understanding of sales processes and lifecycles, including deal desk operations and closed-won processes.
- Familiarity with contract and order management processes (IO/IIO creation, paperwork review.)
- Exposure to InfoSecurity/vendor form completion is a plus.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
- Strong attention to detail and accuracy in data entry and management.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with colleagues at all levels.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Proactive attitude with a willingness to learn and take on new responsibilities.
Education and Experience
- Bachelor's degree in business administration, marketing, or a related field preferred.
- 1-2 years of previous experience in sales support, customer service, or administrative roles in a B2B environment.
- Hands-on experience with Salesforce; including data entry, reporting, dashboards, and basic configuration.
- Experience with ticketing systems for managing internal requests
- Experience with CRM data management; such as, data uploads, data cleansing, mass updates using tools like Apsona or native import tools.
