Workday's Marketing Project Management (PMO) team is the driving force behind our marketing projects, programs, campaigns, events and digital experiences. Our mission is to introduce and maintain a consistent approach to carrying out projects as well as look for opportunities to streamline process and scale. About the Role
The Marketing Intake Manager plays a key role in being at the center for trafficking all types of marketing project requests at Workday. This position reports into the Project Management Office (PMO) and will work closely with teams across the globe and in all departments within and outside of Marketing, to vet, route and prioritize, all incoming requests.
As an expert at tracking and disseminating information, you'll handle and coordinate assigning incoming work requests received in our project management tool and be the main point of contact for the queue.
Evaluate, assess and qualify project requests for completeness, clarity of scope, and alignment to Marketing priorities to disposition requests promptly.
Facilitate communication with requestors, marketing team members, in partnership with the Resource Management, Project Management teams, and occasionally marketing leadership and/or key vendor contacts to assess requests in support of accurate prioritization and resource capacity planning.
Prepare and collate requests for review to enable active participation in weekly prioritization meetings, daily check-ins with individuals and key collaborator groups to ensure efficient assessment and routing of all incoming ad-hoc requests.
Communicate prioritization decisions back to requesters and as needed, broker requested due dates for projects based on resource capacity and workload.
Ensure that each stage of request review moves forward in a timely manner and if any issues arise, proactively flag these to Project Management and Marketing Leadership teams.
Act as champion and represent supported departments or teams by becoming well-versed in the work they do, to improve accuracy in request routing.
Assist in the development and communication of Service Level Agreements, as well as documentation of guidelines for our marketing and non-marketing collaborators.
Generate and disseminate traffic status reports to keep management and teams updated.
Participate in the quarterly planning process as an informed team member to gain an understanding of planned work.
Continuously improve effectiveness and efficiency of the intake process by incorporating lessons learned and developing standard practices, with an eye towards increasing speed to market.
Provide reporting and analytics insights about the intake process for further improvements.
About You
Basic Qualifications
7+ years proven experience as a traffic manager, resource manager, or project manager within a creative or marketing organization.
Knowledgeable experience of digital, creative, and other marketing project processes.
Solid proficiency in a project management system and experience evangelizing its use with business partners.
Proficient user of Microsoft Office Suite, Google Suite (Sheets, Docs, Slides) and familiarity with Adobe applications.
Other Qualifications
Comfortable working in a dynamic and fluid environment. Ability to quickly understand intricate project/request requirements, briefs, and recognize potential risks and dependencies relevant to project execution and resourcing.
Curious, flexible problem-solver. You are also fair, kind, collaborative and a trusted confidant of confidential information.
Extraordinary communication, organizational, and social skills at all levels of the organization (from executive management to individual contributors performing the work). The role requires a high level of patience, diplomacy and fortitude and a strong voice in a fast paced environment.
Effective relationship-building skills; ability to cultivate positive relationships across teams.
Must be diligent and persistent in follow-up and completion.
Ability to monitor and traffic high volumes of requests/projects, quickly identify risks and promptly communicate issues.
Excellent organizational skills, including strong time management; have a knack to balance multiple priorities simultaneously
Meticulous attention to detail and able to connect details back to business goals.
Ability to be flexible and embrace change.
Can-do positive attitude and a roll-up-your-sleeves approach.
Experience with Workfront is a huge plus, especially with experience developing and creating reports.

The annualized base salary ranges for the primary location and any additional locations are listed below. Workday pay ranges vary based on work location. As a part of the total compensation package, this role may be eligible for the Workday Bonus Plan or a role-specific commission/bonus, as well as annual refresh stock grants. Each candidate’s compensation offer will be based on multiple factors including, but not limited to, geography, experience, skills, job duties, and business need, among other things.
