Job Requirements We are looking for a results-driven and hands-on Manager of Marketing Operations to lead the strategy, execution, and optimization of our marketing systems, data, and processes.
This role will own the marketing automation platform primarily HubSpot and its ecosystem will be responsible for building complex workflows, managing lifecycle stages, maintaining database quality, strengthening subscription and consent governance, improving email deliverability, and ensuring reliable integration between HubSpot, Salesforce, and the broader marketing technology ecosystem.
The ideal candidate combines strategic thinking with strong technical execution. You should be comfortable designing scalable processes, troubleshooting system and data issues, and partnering with Demand Generation, Sales, RevOps, Business Operations, and Technology teams to improve funnel efficiency, pipeline visibility, and revenue impact.
Core Responsibilities
- Serve as the primary owner and subject-matter expert for HubSpot, including Marketing Hub administration, governance, configuration, and optimization.
- Design, build, test, and maintain complex HubSpot workflows using branching logic, enrollment and re-enrollment criteria, lead scoring, routing rules, nurture paths, notifications, task creation, and data-update automation.
- Build scalable automation for lead capture, qualification, assignment, follow-up, recycling, disqualification, suppression, and re-engagement.
- Establish workflow documentation, naming conventions, QA standards, approval processes, and change-management controls.
- Regularly audit workflows, lists, forms, properties, campaigns, and automation dependencies to identify conflicts, redundancies, performance issues, and optimization opportunities.
- Troubleshoot workflow failures, sync errors, incorrect enrollments, routing delays, and data-processing issues.
Lifecycle Stages and Funnel Management
- Design, implement, and continuously optimize lifecycle stages, lead statuses, qualification criteria, and funnel definitions across HubSpot and Salesforce.
- Manage the progression of leads through stages such as Subscriber, Open, Engaged, MQL, SAL, SQL, Opportunity, Customer, Nurture, Recycle, and Disqualified.
- Build automation for MQL creation, sales acceptance, lead handoff, meeting progression, opportunity association, recycling, and disqualification.
- Partner with Sales and RevOps to define SLAs, lead ownership rules, follow-up expectations, and stage-entry and exit criteria.
- Monitor funnel conversion, lead aging, stalled records, routing exceptions, and lifecycle-stage inconsistencies.
- Ensure lifecycle stages and lead statuses remain synchronized and accurately reported across HubSpot and Salesforce.
Data Management and Governance
- Own marketing data quality, database governance, and contact-management processes across HubSpot, Salesforce, and connected platforms.
- Develop scalable processes for data collection, validation, enrichment, normalization, deduplication, segmentation, suppression, and archiving.
- Define and maintain data dictionaries, property standards, field mappings, required fields, naming conventions, and source-of-truth rules.
- Conduct recurring database audits to identify duplicates, invalid records, incomplete data, hard bounces, inactive contacts, incorrect owners, and lifecycle-stage discrepancies.
- Build automated data-cleaning and enrichment workflows while maintaining clear audit trails and governance controls.
- Manage marketing-contact eligibility and database capacity to ensure efficient platform utilization and cost control.
- Partner with Sales Operations and Business Operations to resolve cross-platform data conflicts and maintain reporting accuracy.
GDPR, Consent, and Subscription Management
- Own GDPR-aligned marketing data practices, including consent capture, lawful processing, preference management, suppression, retention, and deletion workflows.
- Design and maintain subscription types, communication preferences, consent properties, opt-in and opt-out processes, and subscription-management pages.
- Ensure unsubscribe and suppression requests are accurately synchronized across HubSpot, Salesforce, and connected email platforms.
- Maintain separate and compliant communication rules for prospects, customers, partners, event attendees, and other audience segments.
- Conduct periodic audits of forms, consent language, subscription types, imports, integrations, and email sends.
- Partner with Legal, Privacy, IT, and Security teams to ensure marketing processes meet applicable data-privacy and compliance requirements.
Email Deliverability and Warm-Up Management
- Develop and manage email warm-up strategies for new sending domains, subdomains, dedicated IPs, and newly introduced email platforms.
- Create controlled warm-up schedules based on audience quality, engagement levels, sending volume, domain reputation, and campaign requirements.
- Monitor deliverability indicators such as bounce rates, spam complaints, unsubscribes, engagement, inbox placement, and sender reputation.
- Work with IT and platform teams to validate email authentication and sending-domain configuration, including SPF, DKIM, and DMARC.
- Build audience tiers and suppression rules to protect sender reputation and improve campaign performance.
- Investigate and resolve deliverability issues, domain blocks, spam filtering, email throttling, and unusual performance changes.
- Establish email-governance standards for segmentation, send frequency, contact eligibility, testing, and campaign QA.
Salesforce and Marketing Technology Integrations
- Own and optimize the HubSpot–Salesforce integration, including field mapping, object synchronization, lifecycle alignment, lead and contact ownership, campaign associations, and error resolution.
- Understand Salesforce objects, campaign structures, campaign-member statuses, lead conversion, opportunity association, and marketing attribution requirements.
- Monitor integration health and resolve duplicate records, field conflicts, sync failures, permission issues, and data overwrites.
- Design and maintain reliable data flows across HubSpot, Salesforce, Goldcast, ZoomInfo, Freckle, and Seamless.ai.
- Manage Goldcast integrations for event registrations, attendance, engagement activity, campaign-member statuses, and post-event follow-up.
- Manage ZoomInfo and Seamless.ai integrations for prospect discovery, enrichment, segmentation, field mapping, ownership, and duplicate prevention.
- Manage Freckle integrations and workflows for email verification, contact validation, database cleansing, and record-quality improvement.
- Work with internal technical teams and external vendors to troubleshoot APIs, webhooks, connectors, authentication, and integration dependencies.
- Evaluate new marketing technologies based on business value, scalability, data security, integration feasibility, and total cost of ownership.
Campaign Operations and Reporting
- Enable Demand Generation and regional marketing teams to execute scalable email, webinar, event, nurture, and integrated campaigns.
- Build campaign templates, operational checklists, segmentation standards, UTM governance, testing processes, and launch QA frameworks.
- Establish reporting for funnel performance, campaign influence, attribution, lead velocity, lifecycle conversion, database health, and pipeline contribution.
- Develop dashboards and operational reports across HubSpot and Salesforce to provide actionable insights to marketing and sales leadership.
- Analyze marketing performance and recommend improvements to targeting, workflow logic, nurture programs, routing, and campaign execution.
- Support annual planning, platform budgeting, capacity planning, vendor management, and marketing-technology roadmaps.
Work Experience Professional Qualifications
- Strong hands-on experience administering and optimizing HubSpot Marketing Hub in a complex B2B environment.
- Proven experience building advanced HubSpot workflows involving branching logic, lead scoring, routing, nurturing, lifecycle progression, data updates, and cross-platform automation.
- Deep understanding of marketing databases, data governance, segmentation, deduplication, enrichment, validation, and reporting.
- Strong knowledge of lifecycle-stage design, lead-status management, MQL processes, sales handoffs, recycling, and funnel governance.
- Practical experience managing GDPR compliance, consent capture, subscription types, communication preferences, suppression lists, and data-retention processes.
- Demonstrated experience with email deliverability, sending-domain setup, audience warm-up, sender-reputation monitoring, and database hygiene.
- Strong working knowledge of Salesforce, including leads, contacts, accounts, campaigns, campaign members, opportunities, and HubSpot synchronization.
- Experience integrating and managing platforms such as Goldcast, ZoomInfo, Freckle, and Seamless.ai.
- Ability to diagnose workflow, integration, data, routing, and reporting issues independently.
- Strong analytical, project-management, documentation, and stakeholder-management skills.
- Ability to balance strategic leadership with hands-on platform execution.
- Experience working with Demand Generation, Sales, RevOps, Business Operations, IT, Privacy, and Legal teams.
Preferred Qualifications
- Experience working in a high-growth B2B SaaS or enterprise technology organization.
- Familiarity with APIs, webhooks, middleware, integration platforms, and automation tools.
- Experience with multi-region databases, global campaign operations, and complex consent requirements.
- Knowledge of marketing attribution, campaign influence, pipeline reporting, and revenue analytics.
- HubSpot and Salesforce certifications are preferred.
