As a Benefits and Leave Administrator at isolved, you will embrace a variety of responsibilities daily. You will be the go-to person for answering employee questions regarding benefits and leave, guiding them through our programs with empathy and clarity. Throughout the day, you will analyze and maintain benefits data, ensuring accuracy and integrity in our systems. Collaborating with HR and payroll teams, you'll assist in coordinating benefits enrollment and updates.
Regularly, you will conduct audits of leave balances and benefits to maintain compliance. Core Job Duties
- Manage email correspondence in the Internal Benefits Inbox by responding to emails and/or routing emails to the appropriate party.
- Provide customer service support to internal customers (employees) to answer questions and assist employees in understanding the organization's benefits offerings.
- Participate in the development of communication tools to enhance understanding of the company's benefits package.
- Assist with the daily benefits processing, including enrollments, terminations, changes, beneficiary audits, and reviewing/addressing weekly file feed errors from benefits carries, as needed.
- Serve as liaison between payroll and benefits to ensure employee payroll and deduction records are accurate, to include calculating prorated employer HSA contributions and benefit premium adjustments for new hires, terms, life events, and benefit changes.
- Assist with the maintenance of employee benefits files.
- Participate in the process of researching employee benefits plans and vendors to identify those that present the best value.
- Partner with plan vendors and third-party administrators, as needed, to handle plan administration tasks.
- Provide support on the transfer of data to external contacts for services, premiums, and plan administration, as needed.
- Document and maintain administrative procedures for assigned benefits processes and make recommendations on revisions to reduce costs and increase efficiency.
- Ensure compliance with applicable government regulations.
- Act as a back-up for various benefits administration activities, such as enrollment management, weekly error report review, COBRA administration, new hire benefits presentations, etc.
- Provide support with plan audits, as needed.
- Manage the administration of our company retirement plan, to include handling enrollments, rollovers, QDROs, QMCSOs, distributions, loans, hardships, disclosure notice distribution, annual audit, and compliance testing.
- Coordinate employee education meetings and communication regarding our retirement plan.
- Serve as primary contact for our 401(k) broker.
- Advise employees and managers on the organization's leave programs, including maternity or paternity leave, medical or disability leave, military leave, or unpaid leave.
- Reply to inquiries regarding leave of absence accurately and timely.
- Aid employee and supervisors in completing required leave of absence paperwork and review documents for accuracy and compliance.
- Analyze leave claims or requests, determine employee eligibility, assist managers in the development of alternate work arrangements or coordination of coverage, and manage employee return to service or separation.
- Record leaves and adjust time or pay in People Cloud as needed.
- Collaborate with human resources leadership, payroll and compensation teams to research and resolve employee leave issues.
- Identify areas of improvement in organizational leave of absence policy and prepares recommendations to human resources management teams.
- Develop training programs and materials on leave of absence policy and implements updates accordingly.
- Ensure compliance with internal and external policies and regulations.
- Other duties as assigned.
Minimum Qualifications
- 2+ years of related benefit administration experience supporting >1000 employee groups.
- 2+ years of related experience administering domestic federal and state employees leaves of absence
- Knowledge of federal and state regulations related to benefits and leave administration.
- Computer proficiency and technical aptitude with the ability to use Microsoft products, including PowerPoint; experience with HRIS and benefits databases.
- Proven ability to work effectively in a team environment with associates.
- Effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
- Ability to interpret and disseminate information to individuals and groups.
- Excellent communication and organization skills.
